FACILITY PROTOCOL

A Clear Path To
Completion

Hospital and senior residence signings require methodical coordination rather than hurried transactions. We liaise with nursing stations and administrative staff to ensure seamless room clearance, proper identification, and complete statutory compliance.

Appointments scheduled and pre-verified within hours of facility coordination.
01
Step 1 · Visit

Facility Intake & Station Coordination

Prior to room entry, we coordinate directly with the nurse administrator or unit coordinator. We confirm visiting protocols, designated room entry windows, and medical schedule clearances to avoid any patient care disruption.
Logistics: Facility name, unit/wing, room number, and attending desk extension confirmed prior to arrival.
02
Step 2 · Verify

Signer Awareness & ID Verification

State statutes strictly require the principal signer to possess mental alertness, unforced willingness, and acceptable statutory identification. We conduct an unhurried, respectful evaluation to confirm comprehension.
ID Requirement: Current, unexpired government photo ID (Driver's License, State ID, Military ID, or Passport). Two credible witnesses may act under specific statutory conditions if ID is unavailable.
03
Step 3 · Sign

Witness Presence & Official Notarization

Documents such as Advance Health Care Directives and Financial Powers of Attorney often mandate impartial, non-beneficiary witnesses. Once executed bedside, each instrument is fully entered in the official journal and embossed with the official seal.
Witness Rule: Facility staff and healthcare agents cannot serve as witnesses. Independent witnesses must be present at signing.

Clear, unhurried answers regarding hospital security clearance, patient care coordination, and legal witness protocols. Please note: we provide certified notarial execution only and cannot offer legal advice or draft legal instruments.

How do you handle hospital visitor check-in and security clearances?

We manage the entire entry protocol independently. Upon arrival at the medical center or senior living community, we check in through the security or reception desk, present valid credentials, and obtain official visitor passes. We coordinate directly with the charge nurse or unit station before entering the resident's room to ensure the timing does not interfere with medical care or therapy schedules.

What happens if our documents require disinterested witnesses?

Many healthcare directives and powers of attorney mandate one or two disinterested witnesses who are not family members, beneficiaries, or direct healthcare providers. We can coordinate qualified, independent witnesses to accompany us to the facility, or guide you in advance on how to arrange eligible individuals in compliance with state statutory rules.

Can the notary assist us with legal questions or document selection?

No. Granite Notary strictly operates as an impartial, certified signing agency. We are not attorneys and are legally prohibited from providing legal advice, explaining document terms, recommending specific legal forms, or assessing the legal sufficiency of your instruments. All documents must be prepared and approved by your legal counsel prior to our arrival.

How do you evaluate signer awareness in a clinical setting?

State law mandates that every signer demonstrates willing consent, direct awareness, and fundamental understanding of the document being executed. We conduct a respectful, unhurried verbal exchange directly with the signer prior to signing. If the individual is heavily sedated or unable to communicate comprehension, the appointment is paused without pressure until an appropriate window is scheduled.

What forms of identification are accepted for bedside notarizations?

Valid identification includes an unexpired state driver's license, state ID card, US passport, or military ID. If the signer's identification has lapsed during an extended care stay, state-approved credible identifying witnesses may be utilized under oath. Please notify us during scheduling so we can review compliant identification pathways in advance.
